Mahggls Employees Credit Union

    The Board of Directors of MII established Mahggls Employees Credit Union (MECU) which has over 60,000 members and a branch in each of MII’s 38 plants and offices.   Some of the “branches” consist of just one person and a single desk.  Other branches, such as the one at the Mahggls Headquarters in San Diego, have as many as 20 full time employees.


The Problems

Scrambled Statements

Although MECU’s member services department was able to access statement information on their PCs, the data looked nothing like the statements their members received.  This was a problem if the member asked, for instance, “what's the third number down in the right column?”  Because the member services representative wasn’t seeing the same document layout on his or her screen, they weren’t able to answer such questions.  In addition, if the member requested a duplicate statement, the document sent would bear little resemblance to what the member was used to seeing and took 10 days to 2 weeks to get there.

Laborious Letters

As the credit union grew, so did the number of letters that needed to be created and mailed.  Even though many of the letters were basically the same, each were individually composed, typed, and mailed.  In addition to the large amount of time and labor involved, some employees unfortunately were not very adept at sentence composition, spelling, or grammar (MECU’s president and CEO is still getting calls from irate members who were encouraged to “burrow money at very low rats”).

In addition, the credit union had started to collect their members' email addresses and wanted ideas for how best to use email in their member communications mix.

Our Unique and Rapidly Implemented Solutions   

After we receive MECU's statement data, it is processed and transmitted back to them using NetProof, our Internet-based online document and data proofing service.  An email is sent to MECU with an embedded hyperlink which, when clicked, takes them directly to the proofing site.  Any approvals or revisions can be indicated right on the site and transmitted back to us.

Once the data is proofed and approved, it is not only printed and mailed, but also posted to the Internet.  This service, called StatementVIEW, allows MECU’s member services representatives to view individual members’ statements on their computer screen in the exact format their members see them.  Not only does this improve member service over the phone, but if a member requests a copy of their statement, an exact replica can be mailed, emailed, or faxed immediately with just a single mouse click!  In addition, members can view their own statement online even before they receive it in the mail.  Once they log on to the MECU online banking site, they can click on a link to view their current month’s statement or their statement from as far back as nine months ago, when MECU began offering StatementVIEW. In the future, MECU will keep 2 years of statements on-line for each member.

After StatementVIEW had been up and running for several months, a new service, ItemPluswas added.  ItemPlus allows single check access to images of cancelled checks through StatementVIEW.  All the checks listed on the member statements are hyperlinked.  Upon clicking on the link, a front and back image of the actual cancelled check can be viewed, including all processing notations, such as the processing date. 

Often-mailed letters now go out error-free, thanks to NetLetter.  Eight letter templates were created (more can be added later as there is no limit) and put on the Internet.  The credit union representative, signing in with a user ID and password, simply picks the desired letter, chooses the recipient(s) from the database (or enters a new recipient), and types in the variable data by tabbing through the template.  Once completed, the user’s name, title, and signature are automatically placed on the document (or, if prepared by a third party, a signature ID is entered to pull in the correct signature, name, and title).  After proofing, the user transmits the letter(s) via the Internet to us for completely automated postal processing, printing, inserting, and mailing.  They also have the option of e-mailing or faxing directly from their desktop and even printing locally for member pick-up, personal or express delivery.

Because the letters are sent to a centralized location for postal processing, MECU is assured the deliverability of the addresses.  In addition, a bar code is added to each  address, ensuring fast and reliable mail delivery.  NetLetter makes letter creation smooth, quick, and error-free, and does it at a fraction of the cost of manually creating and mailing occasional letters from multiple locations.

In addition to introducing new products and services with branch displays, statement inserts, and their quarterly newsletter, MECU is now emailing announcements to their members. These broadcast emails, which utilize our NetHTMLservice, can include graphics, sound, and FLASH animation.  They can also include links to the credit union's website (to a loan application page, for instance).  NetHTML also allows for target marketing with variable messages.
